Payroll Specialist

Job Summary:
We are looking for an experienced and detail-oriented Payroll Specialist to join our team. This role will involve processing payroll accurately and on time, ensuring compliance with tax laws, and collaborating with internal and external stakeholders to resolve payroll-related tax matters. The ideal candidate has a keen eye for detail, strong organizational skills, and a solid background in payroll tax compliance.

*Please note this role will be located at our Home Office in Westport, CT. You will be required to work from the office 5 days a week*


Key Responsibilities:

  • Payroll Processing
    • Accurately process payroll a segment of our 12,000 employee base on a bi- weekly basis.
    • Ensure payroll calculations comply with company policies and applicable tax laws.
  • Payroll Tax Compliance:
    • Ensure proper withholding, reporting, and remittance of payroll taxes at the federal, state, and local levels.
    • Maintain compliance with current payroll tax regulations, including FICA, FUTA, SUTA, and other applicable laws.
  • Tax Filing & Reporting:
    • Prepare and file payroll tax forms such as 941, 940, W-2s, and state unemployment reports.
    • Work closely with external tax agencies to resolve discrepancies and ensure timely filings.
  • Reconciliation:
    • Reconcile payroll accounts and payroll tax withholdings, ensuring accuracy in all records.
    • Address and resolve payroll tax discrepancies.
  • Employee Support:
    • Respond to Manager inquiries regarding payroll taxes, deductions, and adjustments.
    • Provide guidance on payroll tax-related matters, such as tax forms and changes in withholdings.
  • Collaboration:
    • Coordinate with HR and accounting teams to ensure accurate employee data and compliance.
    • Assist with audits, both internal and external, related to payroll and taxes.
  • System Maintenance:
    • Update payroll systems to reflect changes in tax rates, regulations, and employee information.


Qualifications:

  • Education:
    • Bachelor’s degree in Accounting, Finance, Business Administration, or a related field preferred.
  • Experience:
    • Minimum 3 years of experience in payroll processing and payroll tax compliance.
    • Familiarity with multi-state payroll and tax regulations is a plus.
  • Technical Skills:
    • Proficiency in payroll software such as Dayforce, ADP, Workday
    • Advanced knowledge of Microsoft Excel (e.g., pivot tables, VLOOKUP).
    • Strong understanding of payroll tax forms and filings (e.g., W-2, 941, 940).
  • Skills:
    • Exceptional attention to detail and accuracy.
    • Strong analytical and problem-solving skills.
    • Excellent organizational and time-management abilities.
    • Ability to handle sensitive information with confidentiality.


Preferred Qualifications:

  • Certified Payroll Professional (CPP) certification or equivalent.
  • Experience with international payroll and tax compliance.
  • Knowledge of tax-related tools or systems used for payroll processing.

Pay Range
$28.85$40.87 USD
