Shared Services Specialist
This is a hybrid role located in Westport, CT. This person will need to work out of our Home Office minimum 3 days a week.
POSITION SUMMARY:
The Shared Services Team Specialist is responsible for the day-to-day administration of the organization’s travel and business expense reimbursements, Onboarding and 1099 Contract Doctors.
ESSENTIAL TASKS AND RESPONSIBILITIES:

- Facilitate paperwork to update DVM/DEA Licenses for all major vendor accounts when there is a medical director change or new acquisition
- Assist with covering Shared Services/Credit Cards Inbox
- Work through any telecom/utility/waste billing issues with our third party payment provider, Engie
- Submit Open/Close requests for new hospitals/new services, or closed hospitals/discontinued services
- Assist with 1099 Doctor Payroll
- Run 1099 Timesheet Report weekly and send any issues to hospital managers/regional managers before payroll is committed
- Responsible for reviewing the 1099 New Hire Requests in Dayforce and ensuring we have all of the required information before approving requests
- Assist with approving 1099 Doctor/Radiology invoices in Concur
- Handle assigned tickets in Shared Services Portal
- Order Wells Fargo Credit Cards/Wex Cards for new employees/close credit cards for termed employees
- Audit/Approve Expense Reports in Concur
- Host monthly Shared Services Team Trainings
- Miscellaneous projects/tasks
Specifics:
- Hourly position reporting directly Shared Services Manager
- This is a hybrid role located in Westport, CT. This person will need to work out of our Home Office minimum 3 days a week.
REQUIREMENTS:
- Excellent verbal and written communication skills
- High School Diploma or equivalent
- 3 years’ experience in a customer service/administrative support role, accounts payable, or other related field
- Authorized to work in the United States
PREFERENCES:
- Proficient knowledge of IRS travel/fringe benefit guidelines, travel and reimbursement procedures
- Ability to organize and prioritize work and manage expectations.
- Prior experience with Concur or similar expense reporting systems
- Prior experience with credit card and/or procurement card (P-Card) administration
- Proficiency in Microsoft Office applications.
- Demonstrated ability to work under pressure and successfully meet deadlines
- Demonstrated ability to problem solve issues to resolution
- 1 year leadership experience
