Senior Executive Assistant
Position Summary
The Senior Executive Assistant & Office Manager is a key role providing high-level administrative support to the executive leadership team while ensuring the smooth operations of the local office. This individual will manage complex scheduling, coordinate travel and expenses, oversee executive and local company events, and maintain an organized and efficient workplace.
Key Responsibilities
Executive & Leadership Team Support:
- Proactively manage the executive leadership team’s calendars, prioritizing meetings, travel, and key engagements.
- Schedule and coordinate executive leadership team meetings, ensuring agendas, materials, and logistics are well-prepared.
- Handle internal and external communications on behalf of the executive with the internal communications team.
- Organize leadership offsites, executive retreats, and special projects as needed.
Travel & Expense Management:
- Coordinate domestic travel for the executive leadership team as needed including flights, hotels, transportation, and itineraries.
- Ensure travel aligns with business needs, optimizing schedules and costs.
- Prepare, track, and reconcile expense reports.
Office & Event Management:
- Oversee the day-to-day operations of the local office, ensuring a well-organized, productive environment.
- Manage office supplies, cleaning and other facilities-related needs.
- Plan and execute local company events, including team-building activities, holiday celebrations, and Center Support Team gatherings.
- Owns key vendor relationships, such as local suppliers and Concur, overseeing contracts, service agreements, and daily interactions to maintain smooth Westport office operations.
Project & Operational Support:
- Assist with special projects, research, and initiatives as assigned by the executive.
- Develop and maintain key documents, reports, and presentations for leadership use.
- Provide logistical support for internal and external meetings, ensuring seamless execution.
Qualifications & Experience:
- 5+ years of experience as an Executive Assistant, Office Manager, or similar role supporting senior leadership.
- Strong organizational skills with the ability to prioritize and multitask effectively.
- Excellent communication skills, both written and verbal.
- High proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint) and collaboration tools (Teams, Zoom, Slack).
- Experience managing travel arrangements, expenses, and event planning.
- Ability to maintain confidentiality, discretion, and professionalism in all interactions.
- Bachelor’s degree preferred but not required.
