CSR / Receptionist
Position Overview:
As a Veterinary Receptionist at Green Trails Animal Clinic, you will be the first point of contact for our clients and their pets, playing a crucial role in creating a warm and welcoming environment. You will provide exceptional customer service, manage appointments, handle administrative tasks, and assist the veterinary team in ensuring smooth clinic operations. Our team prides itself on providing high quality care for our clients and their pets.
Key Responsibilities:

Client Communication:
- Greet clients and pets in a friendly and professional manner, ensuring a positive first impression.
- Answer phone calls and respond to inquiries regarding services, appointments, medication, and general pet care.
- Schedule, confirm, and reschedule appointments for patients, including follow-ups and reminders.
- Provide clients with instructions for pre-visit and post-visit care as needed.
- Assist in managing email and other forms of communication, ensuring all inquiries are addressed promptly.

Administrative Duties:
- Manage patient records by updating and maintaining accurate information in the clinic's management system.
- Process payments, including billing for services rendered and selling of pet products or medications.
- Handle insurance claims, if applicable.
- Maintain a clean, organized reception area.

Customer Service:
- Ensure excellent client satisfaction by addressing concerns or complaints in a compassionate and efficient manner.
- Follow up with clients regarding test results, medication refills, or care instructions as directed by the veterinarian.
- Provide general information on pet care, upcoming appointments, and clinic policies.

Collaboration and Teamwork:
- Work closely with veterinary technicians and doctors to ensure efficient patient flow.
- Assist with preparing patient charts and records for upcoming appointments and treatments
Qualifications:
- Education: High school diploma or equivalent required. Some post-secondary education in animal care, business administration, or related fields is a plus.
- Experience: Prior experience in a veterinary clinic or medical office is preferred but not required.
- Skills:
- Strong communication and interpersonal skills to interact effectively with clients, pets, and staff.
- Excellent organizational and multitasking abilities.
- Proficient with office software (e.g., Microsoft Office) and veterinary management software (experience with Cornerstone is a plus).
- Ability to work in a fast-paced, team-oriented environment.
- Compassionate, empathetic attitude toward animals and their owners.
- Additional Requirements:
- Ability to handle stressful situations calmly and professionally.
- Some light lifting (up to 25 lbs) and the ability to stand for long periods may be required.
- Flexible availability, including evenings or weekends, as clinic hours dictate.
