General Practice Customer Service Representative

Position Overview: The Customer Service Representative contributes to the success of a high-performing organization committed to delivering superior care and exceptional service. Performs a range of administrative and customer service tasks, providing valuable support to the hospital.

Client interaction: 

  • Greet clients and their pets warmly upon arrival.
  • Answer phone calls promptly, addressing inquiries and concerns regarding appointments, billing, and pet care.
  • Schedule appointments effectively, considering urgency and veterinarian availability.
  • Collect and update client information in the practice management system. 

Administrative tasks: 

  • Process paperwork, including intake forms, medical records, and consent forms.
  • Generate invoices and collect payments
  • Maintain accurate patient records and medical history
  • Manage appointment reminders  
  • Replying to emails and voice mails in a timely manner
  • Accurately take detailed messages 

Veterinary knowledge: 

  • Understand basic veterinary terminology related to common procedures, medications, and diagnoses
  • Identify potential emergencies and direct clients to appropriate care 

Required skills: 

  • Excellent communication and interpersonal skills
  • Strong organizational and multitasking abilities
  • Attention to detail and accuracy in data entry
  • Ability to work well under pressure and manage a fast-paced environment
  • Compassionate and empathetic towards animals and their owners
