Client Service Supervisor

Columbia River Veterinary Specialists of Vancouver, WA is seeking a full-time Client Service Supervisor to join our leadership and support our growing team!

Our Client Service Supervisor supports our hospital team with an exceptional concierge client service focus and leads our team of client service professionals as the “face” of our practice, providing the utmost quality in delivering exceptional customer service experience for our clients and team alike. Our Client Service Department assists our Patient Care Team with the administrative and clerical aspects of client accounts, patient records, and all business related tasks associated with delivery of patient and client care.

At CRVS, we experience a high volume of critical/emergent patients – these patients have owners that are under a great deal of emotional stress.  It is important to have skills necessary to communicate effectively with both clients and staff alike but also able to maintain professional composure and objectivity to navigate difficult and often stressful situations.

Duties/Chief Responsibilities:

  • Supervise receptionists and specialty coordinators, including hiring, firing, and evaluating performance, reviewing time reporting, enforcing company policies and communicating new practices and policies regarding reception duties.
  • Schedule receptionists according to staffing needs, serving as a receptionist, as needed.
  • Receive and work towards resolution of client complaints and concerns, escalating medical issues to Hospital Manager and appropriate Patient Care Team members as needed.
  • Maintains specialist (non-emergency doctors) appointment scheduling information and changes.
  • Count cash and/or balance daily transactions, balance cash drawer, make appropriate change as needed, and depositing daily cash drops at bank.
  • Process refunds, returns, and credits, as needed by location.
  • Organizes and processes all payment plans and held checks, as needed by location, obtaining approvals as necessary.
  • Bi-monthly billing statements and collections as well as end-of-month closing reports, as required by location
  • Serve as primary lead to assist Hospital Manager with maintenance, building and/or technology issue resolution.
  • Other duties as assigned by Manager.

Successful Candidates will possess the following skills, education and experience:

  • High School diploma or equivalent required, Associates or Bachelor’s Degree in Business Management or Animal Science preferred.
  • 3+ years demonstrated client service skills required.
  • 2+ years experience in a Supervisory or Leadership role required with solid understanding of coaching and performance improvement skills.
  • 3+ years Veterinary Industry or other Medical industry preferred with essential understanding of medical terminology, and standard protocols.
  • Demonstrated Time Management, Prioritization and Organizational skills required.
  • Must display High Emotional IQ and Empathy under moments of extreme duress.
  • Must possess excellent Verbal and Written Communication skill with highest degree of attention to detail.
  • Must possess understanding of electronic recordkeeping systems and databases with ability to learn internal programs.

$27$31 USD
